At Mailra, we work on dozens of events each year, but weddings always hold a special place in our hearts. There's something magical about helping create the perfect setting for such an important day in a couple's life. In this blog, we take you behind the scenes of a recent luxury wedding we styled.

Months of Preparation

What many people don't realize is that styling a wedding often requires months of preparation. For this particular wedding, we began our initial conversations with the couple six months in advance.

The process started with an extensive consultation where we listened to their vision, preferences, and wishes. The couple, Lisa and Thomas, dreamed of an elegant setting with a modern twist, in soft shades of sage, gold, and ivory – colors that perfectly align with our aesthetic.

From Concept to Mood Board

After the initial conversation, we developed a detailed concept, including:

  • Color palette and materials
  • Table styling concepts
  • Floral arrangement ideas
  • Lighting suggestions
  • Special decorative elements

We translated this into a visual mood board that we shared with Lisa and Thomas. Their enthusiastic response confirmed we were on the right track, though some adjustments were needed to perfectly capture their vision.

The Logistical Puzzle

One of the biggest challenges in styling an event is the logistics. For this wedding with 120 guests, this meant:

  • 120 chairs and matching cushions
  • 15 round tables
  • Complete tableware, cutlery, and glassware for a 5-course dinner
  • Over 200 candles in various sizes
  • 40 meters of table linens
  • 30 floral arrangements in different sizes

All these items not only had to be selected and reserved but also transported to the venue, set up on the day, and later dismantled and collected.

The Day Before the Wedding

The real magic happens in the 24 hours preceding the event. Our team of five stylists arrived at the venue the day before the wedding to begin the basic setup:

  • Placing and dressing all tables
  • Hanging ambient lighting
  • Creating a backdrop for the ceremony
  • Preparing all decorative elements

We worked until late in the evening to ensure everything was ready for the finishing touches on the day itself.

The Big Day: A Race Against the Clock

On the wedding day, our team arrived at 7:00 AM, while the ceremony wasn't scheduled to begin until 3:00 PM. We needed this time for:

  • Placing all fresh floral arrangements
  • Perfectly setting each table
  • Lighting hundreds of candles
  • Checking every detail, from place cards to menu cards

One of the most stressful moments was when we discovered that some floral arrangements were lighter in color than planned. Our head stylist creatively solved this by strategically placing them and supplementing with extra greenery, making the color gradient appear intentional.

The Result

When the guests enter and you hear those first "wow" reactions, you know all the hard work has been worth it. For Lisa and Thomas, we created a space that felt simultaneously elegant, personal, and warm.

The ceremony setting with an arch of dried and fresh flowers against a backdrop of softly draped fabrics formed the perfect setting for their vows. Later in the evening, the dining area with its soft candlelight, lush flowers, and perfectly set tables provided an unforgettable experience.

The Invisible Details

What many people don't see are the small details and emergency solutions that happen behind the scenes:

  • The extra set of tableware we always bring for accidents
  • The emergency repair kit for last-minute fixes
  • The team that discreetly remains present during dinner to replace candles and solve any issues
  • The careful planning of the breakdown, so guests don't notice anything

The Satisfaction

Afterward, when the last guest has left and we begin cleaning up (often into the early hours), there's always a sense of immense satisfaction. Seeing a happy couple enjoying their perfect day makes all the stress and hard work more than worth it.

Lisa and Thomas sent us a message a week later: "You exceeded our dreams. The styling was exactly what we wanted but couldn't articulate. So many guests told us it was the most beautiful wedding they've ever attended."
